Student database and staff records

The Arkantara student database is the school's master record that other modules such as attendance, report cards, and finance refer to, so nothing is typed twice. Admins manage students, guardians, teachers, staff, classes, subjects, rooms, academic years, and semesters in one place.

Master Data Available from the Starter package

What you can do

  • Student and guardian master data

Keep NIS, NISN, national ID, place and date of birth, contacts, address, and photo. One guardian can be linked to several children, such as siblings.

  • Teacher and staff records

Record teachers and staff with employee number, employment type, status, and join date. Each employee record can be linked to that person's sign-in account.

  • CSV import with preview

Upload students, guardians, or employees from a CSV template. Every row is checked first, and nothing is saved until all rows are valid.

  • Student status and class history

Status changes such as transfer or withdrawal are logged with an effective date and reason. Class history is kept per academic year, including promotions and class moves.

  • Student and staff cards with barcodes

Print CR80 cards with photo, number, and barcode per class, per student, or per employee. The card code can be scanned in the library and canteen modules.

  • Search and CSV or PDF export

Search by name, NIS, or NISN, filter by status, then export the list to CSV or PDF with the same filters. National IDs are never exported, and every export is audited.

Frequently asked questions

Can we import existing student data from a spreadsheet?

Yes, through a CSV file. Download the template from the list page, fill it in a spreadsheet app, and save it as UTF-8 CSV. You see a preview with errors per row, then the data is saved in the background and you get a notification when it is done.

Who can edit and export student data?

Access follows the roles set by the school admin. Only data managers can import and export, other users see national IDs masked, IDs are never exported, and every import and export is recorded in the audit log.

Is one school's data kept apart from other schools?

Yes. Each school has its own isolated data space, so student, teacher, and guardian records never mix with another school's, including other schools in the same foundation.
