Student affairs and counseling app

Arkantara's student affairs app helps the student affairs team, counselors, and homeroom teachers record violations, achievements, and counseling in one place. Points and achievements show on the student profile, while counseling notes stay limited to authorized staff.

What you can do

  • Discipline points

Define violation types with their points, then record each violation with date, description, and action taken. Points are totaled per academic year.

  • Student achievement records

Record achievements from school to international level, with rank and organizer. An achievement can be linked to an extracurricular activity.

  • Restricted counseling notes

Counselors record the topic, notes, and follow-up. Only staff with counseling permission can see them, and their content stays out of the audit log and the parent portal.

  • Student affairs notices to guardians

Guardians get an in-app notice and an email when a violation or achievement is recorded. They can see their child's points, violations, and achievements in the parent portal.

  • Early warning by class

List students past school-set thresholds for attendance, missing assignments, subjects below the KKM, or discipline points. Homeroom teachers see only their own class.

  • Transfer history and student letters

Transfers and withdrawals are logged with date and reason. Permission letters, certificates, and statements are issued from templates as numbered PDFs.

Frequently asked questions

Can parents read their child's counseling notes?

No. The parent portal shows the child's points, violations, and achievements, while counseling notes can only be opened by counselors or staff given counseling permission.

How are discipline points calculated?

Each violation type carries points set by the school. When a violation is recorded its points are copied onto the record, so later changes to the type do not rewrite history. Totals are summed per academic year.

Who can record violations and achievements?

Users with permission to manage student affairs, such as the student affairs team or counselors. The school admin grants this through roles, and each entry is kept in the audit log with who made it.
